The Executive Administrative Assistant is a highly confidential, administrative position which provides administrative support to the Treasurer’s Office Leadership Team. It involves the use of independent judgment and discretion and has the responsibility for serving as an Intermediary for the Team while carrying out administrative detail duties. Provides leadership in planning and evaluating departmental operations, special events, projects, initiatives, and programs. Functions as a high-level department liaison to customers, represents the Office of the Treasurer with interactions with high-ranking officials within and outside of the Office. This employee acts with authority on office management functions and has the responsibility for the conduct of varied and difficult public contact. Work is performed independently or in accordance with oral instructions from the Leadership Team.
Executive Support
Provides direct support to the Treasurer leadership team. Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel.
Screen incoming calls, emails, and requests, and handle them when appropriate.
Maintains records and other documents and coordinates special events. Evaluates documents submitted for administrator’s signature. Provides support for long-range planning and scheduling activities. Provides expert advice to management.
Plans for elected officials and other distinguished visitors, as well as potential employees visiting the Office and welcomes them on behalf of the administrator. Assists with office social functions and receptions hosted by the Leadership Team.
Serves as liaison and point of contact for the Treasurer and Leadership as needed.
Project Coordination
Acts as administrator’s representative in working with third parties.
Communicates agency objectives, tasks, and decisions to staff on behalf of the Leadership Team. Researches and handles special projects.
Reviews reports, manuals, and publications. Reviews administrative assignments, programs, and other administrative matters. Coordinates and monitors action items for the Leadership Team.
Identifies and recommends improvements for administrative procedures and makes evaluative judgments in implementing changes.
Confidentiality and Discretion
Assists in the resolution of complex, highly sensitive and confidential administrative matters.
